How Many Custom Cowboy Hats to Order for a Wedding
Western weddings have made branded cowboy hats one of the most-requested custom favors we make. The hard part isn’t the design — it’s the count. Order too few and you’re scrambling two weeks out; order too many and you’ve paid for a closet full of leftovers. Here’s the formula we give every couple.
Start with three tiers
Split your headcount into three groups, because each gets a different hat treatment and quantity logic: the couple and VIPs, the wedding party, and guests. Most orders cover the first two in full and treat guest hats as an optional upgrade.
| Group | Who | How many |
|---|---|---|
| Couple & VIPs | Couple, parents, officiant | Exact count + 1–2 spares |
| Wedding party | Bridesmaids, groomsmen, attendants | Exact count + 2 spares |
| Guests | All attending guests | ~85% of confirmed RSVPs |
Why 85% for guests
Not every guest takes a hat, and not every RSVP shows. Ordering for about 85% of confirmed guests is the sweet spot — enough that you won’t run out at the reception, without a big overage. If hats double as the escort-card or favor display, round up to 95%.
Always add spares
Add 5–10% spares on top of your total. Hats get sat on, lost, and claimed by guests who “just want one more for the dog.” Spares cost far less than a rush reorder, and because we keep your artwork on file, you can reorder later — but not before the wedding.
Personalization changes the math
If you’re individualizing hats (names on the party’s hats, roles like “Bride” and “Best Man”), send the exact list — those are made one at a time and can’t be swapped. Keep generic branded hats for guests so the count stays flexible.
For most western weddings: exact counts for the couple and party (plus 2 spares each), about 85% of confirmed guests for guest hats, and 5–10% overall spares. Personalized hats need exact names up front.
